Job Description
Job Title: Tennis Program Coordinator
Location: West and East Campuses, Washington Tennis and Education Foundation (WTEF)
Reports to: City-wide Director of Tennis

WTEF’s mission is to build life champions. We provide a safe, structured environment where youth can develop critical life skills, academic success, and tennis proficiency. Through after-school and summer programs, we create a pathway for holistic growth, empowering participants to reach their full potential both on and off the court.
This position is hybrid remote. The program coordinator will need to be onsite from 3:30-7:00 pm 2-3 times per week (exact days to be determined)
Key Responsibilities
- Develop, manage, and oversee tennis programs, camps, and special events using CourtReserve.
- Maintain and update participant records, rosters, and demographics for all locations.
- Manage the program inbox, address programming questions, evaluation requests, make-ups, refunds, attendance, and waitlist management.
- Communicate with prospective players’ families, update listservs, respond to program information inquiries, and communicate availability for evaluated players.
Event & Community Engagement
- Develop and disseminate email newsletters related to programs and community.
- Assist in coordinating tennis socials, tournaments, and special camps.
- Actively promote WTEF’s mission and programs, serving as a brand ambassador.
- Build and nurture positive relationships with students, parents, and community members to enhance engagement.
Operations & Facility Management
- Ensure smooth execution of program logistics, including registration, scheduling, and finances.
- Hold consistent administrative hours, as approved by the CityWide Director of Tennis.
- Manage scheduling for West Programming and Summer Camp(s), updating player rosters, ensure classes are leveled appropriately by communicating with coaching staff, and designing session schedules to meet budget goals.
- Support and manage coaching assignments, monitor session quality, and ensure smooth transitions between classes.
- Collaborate with DPR Summer Camp site managers to address operational needs.
- Track, report, and handle broken, dead, or needed equipment, ensuring the Tennis Director is updated.
Programming Communication & Marketing
- Update the list serv and create Constant Contact emails for communications.
- Support and maintain the WTEF website with tennis-related content.
- Design and distribute marketing materials for West and East Campuses
- Manage JotForm submissions related to scheduling, satisfaction surveys, make-ups, private lessons, and carpooling.
Customer Service & Program Support
- Provide player progress updates and recommendations to families, working closely with lead coaches for each group.
- In collaboration with the Tennis Director, address program complaints, parental disputes, and concerns to offer timely resolutions and ensure positive customer experiences.
Programming Development & Quality Management
- Support Tennis Director in defining short-term and long-term programming goals, anticipating and addressing potential programming challenges.
Qualifications & Skills
- 5+ years of program coordination or administrative experience in a sports or youth development setting.
- Strong program management, organizational, and problem-solving skills.
- Experience using CourtReserve and Microsoft Office Suite for program administration.
- Ability to lead a team of counselors and staff effectively.
- Excellent customer service, conflict resolution, and relationship-building skills.
- Proficiency in email, texting, and mobile methods of communication.
- CPR/AED and First Aid certification (required).
- Preferred but not required: Experience with tennis/ tennis programming.
